How do I enroll?
Enrollment is a two stage process:

Stage 1 – Simply select the course you wish to study from within the Kilgore Academy catalog. When you select a course, you will be prompted to follow the payment pathway. We utilize Paypal as our processor and as such you can use your own Paypal account, a credit card, a debit card, and in some circumstances a direct bank transfer, all through the Paypal interface. Immediately upon completing the transaction you will receive an e-mail confirmation of payment.

Stage 2 – Within 24 hours of registration you will then receive a welcome e-mail from the academy director providing you (1) access information to your course within the secure learning environment and (2) a student manual of navigation of the virtual learning environment.


What are your entry requirements?
The Kilgore Academy courses are generally open access, meaning that there are no specific prerequisites required to take them. We do however request that any individual registering for a course should be prepared academically through the secondary education level to ensure that there can be a reasonable expectation of completing the course successfully.

English is not my first language, may I take Kilgore Academy courses?
While the Kilgore Academy teaches and delivers its learning materials in English, as long as you have a good command of English (and access to translation apps) we encourage ESL individuals to enroll. Our methods of contents presentation and the length of course access provided lends itself well to aiding ESL students in learning the content AND towards further developing individual English language skills .

How quickly do I get access to the learning materials?

The moment you receive your access instructional e-mail from the director you will have immediate access to the course materials. This is intended to occur within 24 hours of the payment transaction.

Can I stop and return to my studies later?
It is possible to take a break in your studies, however you must formally contact the director@kilgoreacademy.com to request the interruption and again to restart study. Without this contact course access will expire as scheduled.

What happens if I don't complete my course?
Under certain circumstances you may be eligible for a partial refund (see Kilgore Academy policies). CEU credit and certificates are only provided for course completions.

How long after I stop studying with you will I be able to access the course materials?
Once you complete your course, if you choose to stop studying with us, or the maximum course access duration has expired, you will lose access to the online learning environment and course materials.

Do you provide an email account?
No. Any notification messages generated by the Kilgore Academy are sent to your personal email accounts. There are numerous providers (Google, Apple, and Microsoft for example) with whom you can sign up with to obtain a free e-mail account.

How do you support access to your courses for disabled students?
The Kilgore Academy is committed to making our online learning system and course materials accessible to as many people as possible. The online learning environment we use is based on the most current version of the Moodle learning management system. Moodle is accessible for a wide range of users and its developers continue to focus on improving accessibility, usability, and security. Within Moodle, our online courses are automatically generated to include any available alternative text descriptions of figures, videos and tables.

You are welcome to contact us with your particular accessibility requirements in advance of registering or enrolling with us. While we cannot accommodate all issues, we will let you know if we can support your particular needs. If needed we can arrange a short trial access period to our materials and our learning environment so you may judge their level of accessibility for yourself.

Will Kilgore Academy courses transfer to colleges or universities?
Within the US higher education community, some of our students have successfully received recognition of completing our courses as prerequisites to program entry or satisfaction of a program requirement. Every university has their own process and review committee so such transfers cannot be guaranteed. Kilgore Academy will provide students documents in support of a student’s petition for credit at their college or university. Please see the transfer regulations and requirements of your intended college or university (most likely these will be detailed in the university catalog and implemented by the admissions or registrars offices).

How do I pay for courses?
Payment is completed online using our secure online payment system with Paypal as our processor. As such you can use your own Paypal account, a credit card, a debit card, and in some circumstances a direct bank transfer, all through the Paypal interface.

Can I get a grant or use VA benefits to take Kilgore Academy courses?
We have endeavored to make our course costs as low as possible while still delivering better than industry standard and academic standard instruction. As such we do not operate a financial aid service office. To do so would increase the cost of our operations and increase course costs. If you do require any evidence documentation in support of your personal seeking of aid elsewhere, please contact director@kilgoreacademy.com describing and requesting documents that we might provide in support.

If you are a small gym owner, if you sign up 3 or more of your staff members in any single course we can work out a nominal group discount rate.

Do I have to buy books and supplies?
No. Our courses are self-contained, providing everything you need to be successful. In some instances there are recommendations of study aids that might be helpful, as a student and as a professional, but these are not required.

What is your refunds policy?
Refund computations will be based on scheduled course time of class attendance through the last date of attendance (the number of days separating the date of registration and the request for refund). Leaves of absence, suspensions and holidays will not be counted as part of the scheduled class attendance.

The effective date of termination for refund purposes will be the earliest of the following:

  1. The last day of unit attendance, if the student is terminated by the Kilgore Academy
  2. The date of receipt of written notice from the student
  3. Ten school days following the last date of unit activity


If tuition and fees are collected in advance of entrance, and if after expiration of the 72 hour cancellation privilege the student does not access the instructional unit, a $50 administrative fee is retained by the Kilgore Academy.

If a student completes less than one-half of the course, whichever is less, and is dissatisfied with the course; and whom requests a refund in writing that provides a reasonable basis for their dissatisfaction no later than the 14th day after the date the unit is concluded will be provided a full refund less a $100 administrative fee.

For students completing more than one-half (50%) but less than three fourths (75%) of a unit, the minimum refund of the remaining tuition and fees will be the pro rata portion of registration fees that the number of hours remaining in the portion of the unit for which the student has been charged after the effective date of termination bears to the total number of hours in the portion of the unit for which the student has been charged. A student may not collect a refund if the student has completed 75 percent or more of the total number of hours in the unit for which the student has been charged on the effective date of termination.

The Kilgore Academy supplies all needed learning materials (online textbooks, online workbooks, and laboratory manuals) and as such, refunds for supplies and equipment are not applicable.

A student who withdraws for a reason unrelated to the student’s academic status after the 75 percent unit completion mark and requests a grade at the time of withdrawal shall be given a grade of “incomplete” and permitted to re-enroll in the unit during the 12-month period following the date the student withdrew without payment of additional tuition for that portion of the course or program.

A full refund of all tuition and fees is due and refundable in each of the following cases:

  1. An enrollee is not accepted for study.
  2. If the unit is discontinued by the Kilgore Academy and this prevents the student from completing the unit.
  3. If the student's enrollment was procured as a result of any misrepresentation in advertising, promotional materials of the school, or representations by the owner or its representatives.


Do you have an academy and course calendar that I must follow?
Kilgore Academy makes it possible to study course materials when and where you wish. You are not tied to a specific time frame of day-to-day study. You are provided a maximum duration of access (26 weeks) after which the course becomes unavailable. How you manage your time and completion of tasks is yours alone. We do however publish a set of completion targets for each course.

The only calendar influence on students is the holiday schedule. On the following holidays return e-mails to student e-mails may not occur until 12-24 hours after the conclusion of the holiday:

How much time a week do I need to commit to studying a Kilgore Academy course?
The online materials should take approximately 3 or so hours per week to read, watch, and study. There are also learning activities, reflections, and self-quizzes that require additional time to complete. As repetition is also required in study, you might consider an additional 3 hours for re-study (especially in preparation for formal testing). All in all, depending on the course, it would be normal to spend 6 to 9 hours per week engaged in the course materials. You may stack more hours in per week and finish the courses faster if desired. Pacing of study is up to the student and is only limited by student effort and the 26 week access window.

Do I have to have a personal computer and Internet connection?

Yes. A laptop or desk top computer makes study easiest and most efficient. They also make formal testing easier (especially in the anatomy courses). You can study on tablets, smart phones, and even Kindles but in some instances the formatting of the materials may not be optimal. Larger screens are better.

Internet connectivity is necessary. Without a connection the study materials cannot be accessed. There is a PDF download feature that allows basic text content to be downloaded for study when you are not online. If you travel for work or have limited internet accessibility this feature is recommended.

What happens if I do not pass a required course test?
First, understand that there are informal, formative, or self-assessments included within the courses that can be repeated until mastery. These are different than formal course tests that may be text and image based (written tests) or video based (practical tests).

If a formal test is failed, a second opportunity to take a similar test will be provided during the last week of course access.

If both attempts fail, the student can purchase a course extension unit and retake a revised version of the failed tests after an 8 week period of restudy.


What if I want to appeal a test result or course outcome?
If a student wishes to challenge test or assessment results based on concerns about one or more specific questions or items, they may file an appeal within 10 days of their receipt of results of the test or other assessment. During the appeal process, individual results along with specific question challenges will be reviewed by the Course Developer, Instructor, and an Instructor not involved with the student. If the questions or items challenged are found to be faulty, flawed, or incorrectly marked and it is determined that the results were affected by the questions or items, a new score will be calculated and provided the student.

To apply for an appeal, the student must provide as much documentation as possible regarding the questions or items challenged. For example, they should state that they believe a question was worded ambiguously, had more than one clearly correct option, or contained biased language. Or if an answer is believed to be correct but was marked incorrect, the question should be articulated in the challenge along with source materials demonstrating the error in the test or assessment key.

IMPORTANT: In some instances the scoring software used can only score a word or phrase with precise spelling, word order sequences, or a specific pixel location on an image. Correct answers that are misspelled (<2 letter variation), or are a variant but acceptable word order, or if a digital tag is placed very near but outside a designated correct pixel space are detected, these will be corrected as a matter of normal course operation by a manual, two person, quality assurance review at the end of the course. Please note that within the Course News Forum in each course there is an informative post specifically about course test structure, errors, and our review and result correction system. It is important to read this information.


How do I get my results?
We are currently implementing a “complete and click” process. At the bottom of the content outline page of each course (currently only KA101 and KA104A have this feature installed) is a “Request Course Review and Certificate” option. By clicking this link academy staff are notified of your completion and they begin a 24-72 hour quality assurance procedure where your course completion (quizzes, reflections, activity reports) are verified and your course test results are reviewed, item by item, to ensure that the auto-grade feature of testing accurately graded your knowledge. Upon completion of that 2-person review, successful students receive a confirmatory e-mail and a certificate for use in claiming CEU credit as appropriate.

For all other courses, once you complete the course, e-mail director@kilgoreacademy.com and report your completion of the course and formal assessments to trigger the QA process to begin.


Why should I study with the Kilgore Academy?
We are driven by quality and service to our students and to the fitness industry. We have no financial support from the government nor do we receive any funds from any fitness organization or corporation. Serving the student who works in the gym is our sole focus and driver. Our courses are built to provide knowledge and skills that are contributory to working with apparently healthy clients in a gym setting. While we cannot guarantee that you will pass our courses, we can guarantee that if you do all of the work of a course, and you study, you will be ready to take any course test and be ready to apply that knowledge in the field.

Is my personal information and study data secure with Kilgore Academy?
Yes, we comply with USA and UK data protection regulations (financial and educational) and as such we manage all our student data accordingly. All password and learning account data is held on secure servers and encrypted. No credit or payment data is retained by the Kilgore Academy. No personal data, other than legal name, e-mail address, and country of residence is required to be submitted as a condition for enrolment in continuing education courses. Video conference identification of a person and their government issued ID is required in some instances but no digital images of IDs are retained. Course results data is secure, available only from within a password protected access system, and is only available to the student and authorized academy staff. The Kilgore Academy does not sell or make available your data to outside parties.

Our sites do use “cookies”, small text files transferred to your device when you visit a website. The cookies are then sent back to the originating website on each subsequent visit. Cookies are widely used to make websites work more efficiently, recognize your browser or device, improve your user experience, customize features, and provide reporting information about the services the website renders. We specifically use “Security and Authentication Cookies” and “Performance and Functionality Cookies”. The Kilgore Academy does not use “Social Media Cookies” or “Advertising and Targeting Cookies”.
